OUR PRIVACY NOTICE

This Privacy Notice explains how we at Sheepfold Bed and Breakfast use any personal information we collect about you. There is an additional Privacy statement by Freetobook on the Freetobook booking page ), but we want to ensure you have all the information about your data and privacy upfront on our website.  

What information we collect about you:

When you make a booking with us, our computerised Booking System (Freetobook), or we personally if you make a telephone booking, collect the name, home address, e mail address and telephone number of the person making the booking, and the names of the lead occupants of all rooms booked. We also collect a debit or credit card number to take a deposit through our payment system, Freetobook / Stripe.  

If you book through Booking.com, similar information is collected by Booking.com and managed my them, and the debit or credit card details are passed securely to Freetobook / Stripe.

How we use the information we hold on you:

Freetobook / Stripe use your home address as part of the card payment processing to validate the card.

The email address you provide is used to send you confirmation of the booking and an e mail with more details on how to find us, and other information you may find helpful for your stay.  We do this through the secure Freetobook portal, or if booking through Booking.com, these confirmations and information come through Booking.com. 

After your stay, you will receive an automatic e mail from the booking system asking you to fill in a feedback form. We may also send you an additional e mail checking everything was OK with your stay and offering you ways to stay in contact with us by social media or e mail if you choose to do so.

 

We will not use your telephone number to contact you unless it is for an emergency and / or we have been unable to contact you by e mail. 

 

How your data is stored:

All of the personal and debit/credit card data you supply us with, as part of the booking process, is stored securely on our third party system, Freetobook / Stripe. Neither we nor Freetobook / Stripe will share your information with any third party unless there is a legal reason for doing so. 

Marketing:

We would like to stay in touch with you to send information about the B&B, any special offers we may have, or local / seasonal events. We send occasional e mails (normally no more than one a month) to people on our distribution list. The distribution list is managed by a secure third party, Mailchimp.  We will ask you at the end of your stay if you would like to be on our distribution list. You would be able to change your preferences or unsubscribe via Mailchimp at any time. Neither we nor Mailchimp will pass your details onto any third party.

 

Guest registration:

We are required by law to collect the following information on non-UK guests (i.e. guests holding a non-UK passport). 

For commonwealth guests - name and nationality

For non-commonwealth guests - name, nationality, passport number, address of next destination.

We keep our guest registration forms safely in a locked filing cabinet. We are required to retain these forms for 12 months and to show them on request to a police officer. We will destroy these forms 12 months after your stay.

 

Access to your information:

Cookies:

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity. You can set your browser not to accept cookies.
